Build forms with a public link, email them to your students and export the responses to Excel. Add a contact form or newsletter signup to your website and manage every lead in one inbox, with marketing consent and CSV export.

In this guide

  • The two tools: Forms (surveys you send) and Website leads (what visitors send you).
  • Create a form, preview it, share its public link or email it to your students.
  • Read the responses and export them to Excel.
  • Add a contact form or newsletter signup to your website and manage the leads.

Forms

Forms doesn't have its own entry in the side menu: open it from the Forms tile in the Management panel of your Overview.

Create a form

  1. Start a new form

Click New form. Example: "Fall SAT Prep: course feedback".

  2. Fill in the Form title and, if you want, a Description (optional) that appears under the title. Tick Include a consent checkbox for the use of data for marketing purposes if you want respondents to opt in to your marketing emails (see Marketing consent below).

  3. Add the questions

Click Add question for each one, write it and choose its type. Tick Required for the ones that can't be left blank.

    TypeUse it for
Short textA name, a school, a one-line answer.
Email addressAn email, checked for a valid format.
Long textOpen comments ("What should we improve?").
Single choiceOne option from a list ("Which grade are you in? Grade 9 / Grade 10 / Grade 11 / Grade 12").
Multiple choiceSeveral options from a list. Add them with Add option.
    Rating (1-5 ★)A star score from 1 to 5.

A form needs at least one question.

  4. Save

Click Create form. It appears in the list as Draft until you send it by email.

Edit before you collect responses

When you save changes to a form, its questions are rebuilt from scratch, and the answers already given to them are lost. Once responses start coming in, export them first or create a new form instead of editing this one.

Preview, test and share

Click the eye icon (Preview) in the list to open Preview form: you see the form as students will, plus a side panel with:

  • Public URL: the form's link on your academy's address, with a button to copy it. Paste it in an email, a post, a QR code or a button on your website. It works as soon as the form is saved.
  • Test send: sends the invitation email to one address so you can check it.
  • Mass send: Send to all paid users emails the invitation to every student with paid access in your academy. After you confirm, the emails go out in the background, the form changes to Sent and the date shows under Last sent:.

The invitation email carries the form's title and your academy's name in the subject, and a Complete the form button.

Who can answer

  • Anyone with the link can open and submit the form; they don't need an account.
  • Someone who is signed in can answer only once: if they open it again they see "You have already responded".
  • Responses from people who aren't signed in appear as Anonymous. If you need to know who they are, add an Email address question.

Read and export the responses

In the list, the Responses column shows how many you've received; click the number (or View responses in the preview) to see them, with the totals Total responses, Accept marketing and Do not accept when the consent checkbox is on.

Export to Excel downloads an .xlsx file with one row per response: number, user, email, date, one column per question (required ones marked with *) and, if enabled, the marketing consent.

Website leads

Leads are the messages and sign-ups that come from your public website. You collect them by adding one of these blocks to any page in the Website Builder (My academy → Designer → Website Builder, then search the Components panel):

BlockWhat the visitor fills inOptions
Contact formName, email and message (required), and phone (optional).Request phone shows the phone field; Button label; several styles and an accent color.
Newsletter signupJust the email.Field text, Button label, a legal note under the field, several styles and an accent color.

Example: on your "Grade 10 Algebra Tutoring" landing page, Ava Johnson writes "Do you offer evening sessions for my son Liam?". She sees "Message sent. Thank you!", the message is saved as a lead and you get an email notice.

Manage your leads

Go to Communication → Leads & email marketing, tab Website leads. The tab shows a badge with the number of unread leads.

  • At the top: Total leads, Unread, Contact requests and Newsletter sign-ups.
  • Filter by status (All, New, Read), by form (All forms, Contact or Newsletter) or search by name, email or message.
  • Each lead shows the contact details, the message, the page it came from and the date. Its actions: Reply by email (opens your email app), Mark as read and delete (it can't be undone).

Built-in spam protection

Both blocks have an invisible trap field that stops bots, a limit of sends per visitor per minute, and a double-click within the same minute doesn't create a duplicate lead.

  • In Forms: with the consent checkbox on, respondents see "I agree that my data may be used for marketing purposes and commercial communications by" followed by your academy's name. It's never pre-ticked. Each response stores the answer, and it's included in the Excel export. If the person is signed in and ticks it, their account is also opted in to your marketing emails.
  • In the Newsletter signup block: the visitor subscribes on purpose. Use the legal note to say what they'll receive, e.g. "One email a month with SAT study tips. Unsubscribe anytime."

Website leads aren't added to your email marketing lists automatically: export them and follow up from there. How Acatudy handles consent and student data is explained in Privacy, cookies and student data.

Export your data

  • Form responses: Export to Excel (.xlsx), from the list, the preview or the responses page.
  • Leads: Export CSV downloads the leads that match the filters you have applied, with the columns Date, Form, Name, Email, Phone, Message and Source page. It opens correctly in Excel and Google Sheets.

Frequently asked questions

Can teachers see forms or leads?

No. Forms and Website leads are only for the academy's administrators.

Can I delete a form?

Yes, with the trash icon in the list. All its responses are deleted with it, so export them first.

Do I get an email for every form response?

No. You get an email for every website lead; form responses are only collected in the form's Responses.

Can I use a form as a sign-up form on my website?

You can link to its public URL from a button. To capture website contacts with an email notice, use the Contact form or Newsletter signup block instead.
