Refund policy
How canceling and refunds work for your Acatudy subscription.
- You can cancel your subscription anytime from My subscription. When you cancel, your academy switches to the Free plan at the end of your paid period (or immediately if you haven't made active use). On the Free plan, uploaded files are deleted after 90 days of inactivity in your academy.
- If you cancel within 14 days of purchase and haven't made active use of the platform, we refund everything you paid and your academy moves to the Free plan right away.
- If you've already made active use or the 14 days have passed, there's no refund: you keep your plan until the end of the paid period and then move to the Free plan.
- Consumers in the EU, the EEA, the UK and Switzerland also have the rights explained below.
What this policy covers
This policy applies to the paid plans (monthly or annual) that an academy buys from Acatudy. They renew automatically until you cancel.
It doesn't apply to courses, enrollments or other payments that students make to an academy: those payments go to the academy's own Stripe account, and the academy sets its own refund terms.
14-day refund window
The window is 14 calendar days from the purchase of your subscription, that is, from the day your paid plan was activated.
- Automatic renewals (monthly or yearly) don't restart the window.
- If you switch plans with a new payment, the new subscription gets its own window and is assessed against the new plan's thresholds.
What counts as active use
Refunds are meant for academies that haven't really started working with the platform yet, because using it takes up resources. There's active use when, at the moment you cancel, your academy is over any of the thresholds of the plan you're canceling:
| Plan | Students | Questions | Subjects | Uploaded files | Your own domain |
|---|---|---|---|---|---|
| Basic | more than 5 | more than 50 | more than 2 | more than 50 MB | Connected and verified |
| Professional | more than 10 | more than 100 | more than 3 | more than 200 MB | Connected and verified |
| Institutional | more than 20 | more than 200 | more than 5 | more than 500 MB | Connected and verified |
- Students: active students enrolled in the academy (the demo student doesn't count).
- Questions: questions created or imported into the question bank.
- Subjects: subjects created in the academy.
- Uploaded files: everything you've uploaded (videos, documents, images and resources).
- Custom domain: your website published on a verified custom domain.
- Artificial intelligence: on every plan, generating a website with Kody or questions with AI after you subscribe already counts as active use, because each generation has a real cost.
- Student payments: on every plan, charging your students after you subscribe already counts as active use, because those payments benefit from the fee of the plan you bought. Payments from every academy in your account count.
- Additional academies: in an account with several academies (Institutional plan), having created additional academies already counts as active use.
Being over means having more than the threshold: for example, on the Basic plan, 5 students isn't active use and 6 is.
We look at your academy as it is when you cancel. Before you confirm, My subscription tells you whether you get a refund and, if not, which threshold you're over.
What happens when you cancel
| When you cancel | What happens |
|---|---|
| Within 14 days, without active use | We refund everything you paid for that subscription and your academy moves to the Free plan right away. |
| Within 14 days, with active use | No refund. You keep your plan until the end of the paid period (month or year) and then your academy moves to the Free plan. |
| After 14 days | The current period isn't refunded. You keep your plan until the end of the paid period and then your academy moves to the Free plan. |
- Until the paid period ends, you can resume your subscription from My subscription at no extra charge.
- When you move to the Free plan, its limits apply. If you exceed them, the over-limit lock explained below applies. Uploaded files (videos and documents) are deleted automatically after 90 days without activity in your academy, with notices at 60, 75 and 85 days. If your academy has no activity from admins, teachers or students for 6 months, it is closed automatically after two notices.
- If a renewal payment can't be completed within 72 hours of the failed-payment notice, your academy moves to the Free plan and you aren't charged anything else.
- Refunds are issued through Stripe to the same payment method you used. How long it takes to show up depends on your bank or card issuer.
Moving to a lower plan
Moving to a lower plan takes effect at the end of the period you already paid for; there are no partial refunds for that change. Until then, you keep everything in your current plan.
If you exceed the new plan's limits
When the change takes effect (including moving to the Free plan), we check whether your academy exceeds the new plan's limits on courses, questions or storage. If it does:
- The admin panel is locked: you can only open the over-limit screen, Billing, Support, your profile and the data export. Your students keep studying as usual.
- We email you when 15, 7, 3 and 1 days are left before deletion.
- After 30 days, only what exceeds the limit is deleted: first what you marked for deletion and, if that is not enough, the most recent items. Questions and courses go to the trash; files are deleted just as if you removed them yourself.
- As soon as you are back within the limits, because you reduce your content or upgrade, the panel unlocks right away.
Accounts with several academies
If your account leaves the Institutional plan, additional academies keep working for 14 days on the account's new plan. After that they are suspended, without deleting their data, until you return to the Institutional plan. Your main academy is never suspended for this reason.
Consumers in the EU, the EEA, the UK and Switzerland
If you subscribe as an individual (not as a business or professional) and your billing country is in the European Union or the European Economic Area (Iceland, Liechtenstein and Norway), you have a 14-day right of withdrawal that this policy doesn't limit (Directive 2011/83/EU on consumer rights, Articles 9, 14 and 16; in Spain, Articles 102 to 108 of the consolidated General Law for the Protection of Consumers and Users). We apply the same rule to consumers in the UK and Switzerland.
- Without active use: a full refund, as for any academy.
- With active use, if you expressly asked for the plan to start right away when you subscribed (the checkbox you tick before paying): we refund the prorated part of the period you haven't used (Article 14(3) of the Directive).
- With active use, if there's no record of that express request: we refund all your payments.
In these cases your academy moves to the Free plan right away. You can also withdraw by sending a clear statement of your decision to [email protected].
How to cancel and get a refund
- Sign in to your academy and go to Billing → My subscription.
- Under the Cancel subscription button you'll see whether you get a refund and until what date.
- Click Cancel subscription and confirm. If you're entitled to a refund, it's processed right then, with no further steps.
Duplicate charges, invoices with wrong details or any other payment issue are reviewed by a person: open a ticket in Help → Support with the Billing and plan category, or email us.
